Different ways to send out tickets

This article describes several ways you can send tickets to visitors without them having to pay for them.

There are two ways in which tickets can be sent to visitors:

  1. Send out tickets with a value, which can also be found as turnover in the sales analysis. This is done via 'Transactions' --> 'Internal Booking'
  2. Send tickets without a value, which are marked as 'Free' in the statistics. This is done via 'Tickets' --> 'Create Ticket'


The first way is used when money actually comes in. For example, when tickets are sold on invoice, or when a ticket is rebooked and the tickets from the original transaction have been canceled.


The second way is used when there is no money coming in for the tickets. For example, when tickets are given away for free (guest list).



1. Send out tickets with a value


PLEASE NOTE: when you send out tickets that have a value in the manner below, this value will also be shown as turnover in your sales statistics. The payment method for this will be marked as 'local'.


You can create and send tickets via the 'Transactions' tab in the leftmost column.

Right at the top corner there is a blue button with the text 'Internal booking'.


When this is clicked, the following screen appears:


Transaction

First of all, an event must be selected in order to send a ticket.


Tickets

The page will then look like this, with the different ticket categories and ticket types under the event. The required ticket can be selected here.



Customer

The customer's email address can then be looked up via the box: 'Select customer', or a new customer can be added by clicking on the blue text 'add customer'.


Target status

To send out tickets for free, it is important that the Target status is set to COMPLETE.

You can then choose which emails the customer receives, this can be a confirmation email and/or an email with the tickets in it.


Please note: It is important to click on the blue 'Create' button to actually create this order. This blue button can be found at the bottom of the 'Shopping cart'.



2. Sending out tickets without value


PLEASE NOTE: when you send out tickets in the manner below, they will be shown in the sales statistics in the 'Free' column. So there is no income in return.


You can create and send tickets via the 'Tickets' tab in the leftmost column.

Right at the top corner there is a blue button that says 'Create Ticket'.


In the screen that now appears, a 'Customer' can be selected (or added via 'Add Customer').


You can indicate whether the tickets should also be sent via email by switching on 'Send out tickets via E-Mail'. A message can also be sent to the recipient under 'Message'.


Finally, choose the event and the cards and click on the blue button with 'Create'.
